Set up and run your laundry on LaundryOS

A plain-language, step-by-step guide to everything: your portals, your services and prices, getting paid into your bank, taking orders, reviews, reports and billing. No technical knowledge needed.

1What LaundryOS gives you

LaundryOS is the software that runs your laundry business, all in one place.

Instead of tracking orders in a notebook, chasing payments on WhatsApp, and keeping prices in your head, LaundryOS gives you one system for the whole business:

  • Your own booking website where customers place orders and pay online, any time of day.
  • A staff portal where you and your team take orders, move them through washing and delivery, and see the day's money.
  • Online payments that verify automatically and settle straight into your bank account.
  • One price list applied the same way to every customer, every time.
  • Customer records, receipts, reports, promotions and reviews, built in.

The short version: customers order and pay on your booking site, your staff process the order in the staff portal, and the money lands in your bank. Everything else supports those two things.

2Your two web addresses

When your laundry is set up, you get two web addresses. They use your business's short name (your "slug"). If your slug is yourlaundry, they are:

Your booking site (also called your storefront). This is the link you share with customers so they can book and pay. It shows your brand, your services and your prices.


For you & staff yourlaundry.ops.laundryosapp.com

Your staff portal (also called the operations portal). This is where you sign in to run the business: orders, pricing, staff, payments and reports.

Your login

When your account was created, we sent a welcome email to your address with your temporary password and both links. Sign in to the staff portal, and you'll be asked to set your own password straight away. Keep that password private, it opens your whole business.

Tip: save the staff portal link to your phone's home screen. It works like an app, even installs like one, and opens straight to your orders.

3First-time setup checklist

Do these once, in order, and your laundry is ready to take its first order.

  1. Sign in and set your password. Open your staff portal link, sign in with the temporary password from your welcome email, and choose a new password.
  2. Check your branch(es). Your first branch is created for you. If you have more than one location, add each one under Branches so orders and staff can be assigned to the right place.
  3. Add your services and prices. Go to Services. Add what you offer and how you charge for it:
    • Per item, for example a shirt at ₦500, trousers at ₦700.
    • Per kilogram, for example wash-and-fold at ₦1,200/kg with a minimum charge.
    • Flat price, for example a duvet at ₦3,000.
    You can also add add-ons like express service, starch or fragrance, which customers pick when they book.
  4. Set delivery zones and fees (only if you do pickup and delivery). Add the areas you cover and the fee for each, so the right delivery charge is added automatically.
  5. Connect your payout bank. Go to Business → Payments and enter your bank details. This is how you get paid, see the next section for exactly how it works.
  6. Add your staff. Under Staff, invite the people who work with you and choose each person's role (owner, manager, staff or rider). They get their own login.
  7. Brand your storefront. Under Business, set your display name, upload your logo, and pick your colour, so your booking site looks like yours.

Once step 5 (your bank) is done and you have at least one service with a price, your booking site is ready to take real orders and payments.

4Getting paid into your bank

This is the part every owner asks about, so here it is in full.

When a customer pays online, the payment is handled securely by Paystack. You never touch their card details, and you don't need a Paystack account of your own, LaundryOS sets everything up when you connect your bank.

How the money splits

On every online payment, the money is split automatically:

  • Your share settles into your bank account on Paystack's normal settlement schedule (typically the next working day).
  • A small platform commission is kept by LaundryOS. You'll always see the exact rate on your plan, and it's shown before anything is charged.

You don't have to move money around or reconcile anything by hand, the split happens at the moment of payment.

Cash and transfer

Not every customer pays online. Your staff can also record cash or bank transfer payments against an order in the staff portal, so your records stay complete however a customer pays.

Refunds

If you need to refund a customer, you can do it from the order in the staff portal. Online refunds are sent back through Paystack to the customer's card.

Important: until you connect your payout bank, customers can't pay you online, only cash and transfer can be recorded. Connecting your bank is the one step that switches on online payments for your laundry.

5Share your booking site with customers

Your booking site link (for example yourlaundry.app.laundryosapp.com) is what brings in online orders. Put it everywhere your customers are:

  • Your WhatsApp Business profile and status.
  • Your Instagram and Facebook bio and posts.
  • A QR code on a poster or sticker at your shop, so walk-in customers can book their next order themselves.
  • Your Google Business Profile, so people who find you on Maps can book.

Inside the staff portal there's a "share booking link" option that always gives the correct link for your branch, so you never share the wrong one.

6Taking and running orders

Two ways an order starts

  • Online: a customer books and pays on your site. The order appears in your staff portal queue automatically.
  • Walk-in: your staff create the order in the portal for a customer who comes to the shop.

Moving an order along

Each order moves through clear stages, for example received, washing, drying, ironing, ready, out for delivery, and completed. Your staff tap the order to update its stage, so you (and the customer) always know where it is.

Changing an order's price

Sometimes the real weight or item count differs from the booking. Staff can re-price an order, and if your settings require it, the change waits for a manager's approval before it takes effect, so nobody undercharges or overcharges by mistake.

Marking an order completed

When the order is done and handed over, mark it completed. That's also what lets the customer leave a review (see below).

7Your customers

Every customer who books with you is saved in your own Customers list, with their contact details, order history and how much they've spent. Use it to recognise your regulars, follow up, and understand who your best customers are. This list is yours and private to your laundry.

8Promotions, referrals & reviews

Promotions and discounts

Under Promotions you can create discounts, for example a percentage off or a first-order deal. They show on your booking site and apply automatically at checkout. (Available on plans that include promotions.)

Referrals

Reward customers for bringing you new ones. When a referred friend orders, both can earn a bonus, an easy way to grow by word of mouth.

Reviews

After an order is completed, the customer can leave a star rating and a comment. You'll get an email whenever a new review comes in, and you can see them all, plus your average rating, on the Reviews page in your staff portal. Reviews show you what customers love and where to improve.

9Reports

The Reports page shows how the business is doing: orders, revenue, and payout reports so you can see what's settled to your bank. Check it daily to keep a finger on the pulse of the shop.

10Your subscription & billing

Your use of LaundryOS runs on a plan. Depending on your plan you pay a monthly subscription, a commission on eligible online sales, or a mix, whatever was agreed is shown on your Business page.

Adding your card for automatic billing

Under Business → Subscription, choose Add your card. You'll enter your card on Paystack's secure page (we never see or store your card number). After that, your subscription renews automatically each cycle, no manual payments to remember. You can replace the card or review your billing history any time.

Adding a card puts through a small verification charge to set it up, that's normal and required to enable automatic billing.

11Notifications

LaundryOS keeps your customers informed by email, for account verification, order updates and receipts. SMS notifications are coming soon; until then, email covers everything and customers sign up with their email. Nothing breaks while SMS is off.

12Optional add-on modules

Depending on your plan, you can switch on extra tools as you grow:

  • Machines, track your washers and dryers.
  • Riders & routes, manage pickup and delivery staff and plan delivery runs.
  • Production jobs, organise work on the shop floor.
  • Scheduling, manage pickup and delivery time slots.

If a tool isn't on your plan, it simply stays hidden until you upgrade, your portal only shows what you can use.
